Documentation

How Inkkore works, end to end — every feature, your data, your rights, and what actually happens when you click something.

Last updated: August 2026

Get startedGetting started

From zero to your first client, in four steps.

Create your account

You pick your studio name, your city, and an identifier (your handle) — that's what forms your public link: inkkore.com/handle. No card is asked for at sign-up. A trial of 14 days starts automatically, with access to every Solo plan feature.

What happens after the 14 days

Nothing breaks. Your account moves on its own to the Free : your link stays online, your client file and history stay intact, you keep 10 requests received per month. You get an email reminder 5 days before the trial ends, a second one 3 days before, a last one the day before, then a message on the day itself recapping what you keep and what goes on pause — never a surprise cut-off.

On the Free plan, several features go on pause: the flash designs on your public page, the healing follow-up and your public portfolio, preparation and aftercare documents, the waitlist, invoicing, and your guest spots (your main location stays online). Electronic consent and the waiver stay. Nothing is erased — everything you have already created stays in your account and comes back exactly as it was if you move to Solo.

The 6 setup steps

A guide shows on your home page as long as steps remain — you can hide it any time, it comes back if you need it. None is required to receive requests, but each one removes a real friction point:

  1. Your link — your public address, the one you put in your bio. Everything else depends on it.
  2. Your questionnaire — what your client fills in before contacting you (area, size, budget, references).
  3. Your look — background, typeface, ink colour. Optional, but it sets the tone.
  4. Your link in your bio — in your Instagram bio, in your story, on your business card. Your clients write from that link, and the conversation continues in a private chat: one thread per client.
  5. Your hours — when you tattoo, so the slots you offer land right.
  6. Getting paid — PayPal, IBAN, Revolut, Zelle, Venmo, Cash App, Pix, US bank account or other. Without it, you can't ask a client for a deposit.

How Studio seats are counted

The Studio plan's base price includes 4 seats — 1 manager + 3 artists, or any other mix of the two roles: the role doesn't change the price, only the number of people counts. The studio owner is never counted in those 4 seats. Each extra seat costs €25/month, whatever the role.

Nothing is ever deleted if you drop a tier or your trial ends — your requests, clients and appointments all stay accessible. Your flashes, your healing follow-ups and your already-signed consent forms also stay visible and downloadable in your account: on the Free plan they simply no longer show on your public page and you can't create new ones. Everything comes back exactly as it was the moment you return to a paid plan.

What the Solo plan actually changes

The Free plan is not a demo: link, questionnaire, pipeline, inbox, calendar, client file, direct deposits and electronic consent are all there, for good and without a card. What Solo adds are the features that make your page work for you — and whatever the plan, there is never a commission on what you tattoo, and nothing is ever deleted when you move back down.

  • Your flash shows on your page: the design is drawn, the price is written, your client picks the piece in their request, you offer a slot and the deposit request follows. It's the piece that sells with the fewest back-and-forths, even while you tattoo someone else.
  • Your page keeps the ones who arrive with your books closed: the waiting list collects their email and their city, and when you reopen a group message goes out to people who were already waiting for you.
  • Your instructions go out on their own: preparation a few days before, aftercare the next day, written once and sent at the right moment, exactly as you wrote them.
  • Your healed pieces become your book: Inkkore reminds you to check in at day 3, 14 and 30, you send the message in one tap, and you get photos of healed work — the most convincing ones, and the ones nobody shows.
  • Your bookkeeping produces itself: deposit invoice when the money lands, balance at the end of the session, credit notes, continuous numbering. Financial tracking itself is already there on Free.
  • Your clients pay however they like: PayPal, Zelle, Venmo, Cash App, bank transfer, Revolut, Pix — every method you set up, shown instead of just one.
  • No more cap: requests become unlimited, and your guest spots reappear on your page with their dates.
  • You can close your books without losing anything: your page keeps collecting in the meantime, and everyone is waiting when you reopen.
  • You ask your own questions: skin tone, time of day, preferred day, allergies, how they heard about you — six are ready to add in one click.

Managing your billing

From Settings → Subscription: one click on "Switch to Solo" or "Switch to Studio" opens a secure Stripe-hosted payment in a new tab — your card never passes through Inkkore's servers. Once subscribed, the same place shows your current tier, your next billing date, and your invoice history, each one downloadable as a PDF.

The "Manage my subscription" button opens the Stripe customer portal: change your payment method, update your billing address, or cancel. Your address and VAT number (if you have one) are collected at the first payment so your invoices are directly usable by your accountant.

GuideFeatures

What each page of your dashboard does, in detail.

Pipeline All plans

Every request received through your public link — or entered by hand — lands here as a card, sorted by status: New → Shortlisted → Quote sent → Deposit requested → Confirmed (or Declined). You drag a card from one column to another to change its status, or open its detail panel to edit everything — price, type, placement, brief, quote, references — except once a deposit has actually been received, when the price locks to prevent any dispute after payment.

You can pin a card to the top of its column (a small coloured marker appears) when you need to keep it in view — handy when there are lots of cards in the same stage.

Agenda All plans

Day, week, or month view of your confirmed and provisional sessions. To create an appointment: a simple click on a free slot proposes a default 2h duration, shifted automatically if it overlaps an existing session; or click-and-drag to draw exactly the start and end you want.

Your working hours (opening days and times) are set in Settings — the calendar automatically greys out the rest, including public holidays and days off.

Times and places All plans

Every appointment is in the local time of the place where the tattoo happens. 2:00 PM in New York stays 2:00 PM, whether you open your calendar from Tokyo or Paris, and wherever your client books from.

You always work in the same place. Set your city and its time zone once: the "Place to confirm" banner asks for it, or use the "Edit" link at the top of the Agenda. After that, nothing to adjust: under the times, the app reminds you "Local time of the tattoo · New York (ET)".

You do guest spots. In My public page → Link & books → Tour & waitlist, give each stop its time zone. Inkkore only suggests one when the city name exactly matches a time zone, like Tokyo — you're the one who confirms it, never a copy of your home one. For a day covered by a stop, the appointment's place is set to that stop automatically; if two stops cover the same day, the app asks you which. A stop without a confirmed time zone can't take appointments.

Your client books from another country. They see the local time of the place, with the city — "2:00 PM · Tokyo time" — on their page, in the emails and in the reminder, never converted into their own time zone: it's the time they need to be there. If they add the appointment to their calendar (Google, Outlook, Apple), the exact moment goes in.

Changing an appointment's place. Open the session and choose the new place: the times stay the same (09:00–11:00) and become those of the new place. Nothing changes before "Confirm the new place", and Inkkore checks that no other session falls at the same moment. Changing your default place, on the other hand, moves no existing appointment.

Clock changes. A time that doesn't exist that day (clocks going forward) is refused. A time that happens twice (clocks going back) simply makes you say which one.

Offering time slots from the chat All plans

From a conversation, the Offer time slots button opens a picker under your reply box — the thread stays visible above. First choose the duration of the session (from 30 minutes to 8 h 45, in quarter-hours, or Full day which takes your real hours for that day), then up to 3 slots spread across whichever days you like.

Struck-through hours can't be offered, for two distinct reasons the tooltip spells out: either a session is already booked at that time, or that slot is already offered to someone else. As soon as you pick an hour, the ones overlapping it lock too — no need to work out yourself where a 2 h 30 session ends.

The client gets an email with the link to their conversation. There they see your slots in the local time of the tattoo's location, with the city written next to it ("Tokyo time"), and picks one with a tap. The appointment then lands in your calendar by itself, the other slots are released, and a message confirms it in the thread. If they answer "none of these work", that simply restarts the conversation — nothing is marked as a refusal.

Until the client answers, your slots are held : they show as busy everywhere else, including in another conversation. Without that, you could offer the same Tuesday 2pm to three people and disappoint two. That hold lasts 48 h by default (adjustable to 24 or 72 h in Settings → Preferences). After that, the slots free themselves and the offer turns "expired". You can also cancel it any time from the card, which releases everything at once.

If the client's record has no email address, the slots are saved but nobody can tell them — the picker says so plainly, and it's on you to send the link or complete their record.

Linking a chat to a request All plans

A conversation and a request are two different things. The request carries the project: the area, the size, the stated budget, your quote. The conversation carries the exchanges. Most of the time both are born together — a client fills in your link, it creates the request and the thread at once, and you have nothing to do.

But a thread opened another way — from a client record, or picked up from an exchange started elsewhere — is linked to no request. Inkkore then offers you, at the top of the conversation, the requests that could match this client. One click links them.

Why it matters: the deposit is worked out from a price, and that price lives on the request (your quote, or failing that the budget the client stated). With no linked request, when the client accepts a slot the appointment does land in your calendar — but no deposit can be asked for, and no payment reference is generated. You'll have to claim it by hand.

Matching goes by client record, email, Instagram, then name — in that order of reliability. Nothing is linked automatically, and that's deliberate: two clients can share a name, and attaching the wrong request would stick another project's price to this conversation. You're the one who confirms.

A request can only be attached to one single conversation. Otherwise two threads would share the same deposit and the same reference, and working out which project a received transfer belongs to would become impossible.

Clients (CRM) All plans

One profile per end client, created automatically on their first request or session — name, contact details, session history, total amount spent with you (LTV), date of birth if known. Search by name, email, phone, or Instagram handle. You can blacklist a client (name, phone, or email): their future public requests get flagged automatically.

On paid plans, automatically computed segments (Loyal, VIP, Follow up) appear on each profile — you can turn these tags off in Settings if you don't want them.

Public link & Questionnaire All plans

Your booking page (inkkore.com/handle) — no account needed on the client's side, automatically in their language. The questionnaire — the fields they fill in before writing to you — is fully configurable: which fields to show, which are required, in what order. A live preview of your public page shows next to the editor as you make changes.

Open or closed books toggles with one click from the dashboard — even closed, your link stays live, with a customisable message and, if enabled, automatic waitlist collection.

Flashes Solo, Studio

Pieces ready to book in one tap, no back-and-forth needed — handy for filling a calendar between two big projects. Each flash has a price, a number of copies available (1 for a one-off piece), and an image.

Waitlist All plans

When your books are closed, a visitor can leave their email to be notified when you reopen — double opt-in confirmation (they click a link received by email, like a real newsletter signup, to filter out fake emails). The dashboard sorts signups by city, handy for deciding where to plan your next guest spot tour. You can send a group message to a selection of confirmed signups.

Finances & Deposits All plans

Ask for a deposit straight from a Pipeline card — a unique payment reference is generated, to give to your client (PayPal, IBAN, Revolut, Zelle, Venmo, Cash App, Pix, US bank account or other, depending on what you set up). Once received, one click ("Confirm received") marks the payment as cashed and and moves the request forward to Confirmed automatically — no more doing both things separately. The Finances screen keeps the history of your deposits and invoices.

The accounting export. The button at the top of the Finances screen gives you a file your accountant can open as is. What's in it depends on your mode: in accounting invoicing, it's the ledger of your documents — number, date, type, client, amount excl. tax, rate, tax, total, currency, status, and the link between a credit note and the invoice it cancels. In financial tracking, it's your payments received, and the file name says so instead of passing a statement off as a set of books.

Money never passes through Inkkore. The deposit and the balance are paid straight to you, by the method you chose — Inkkore takes no commission on any service, on any plan.

Invoicing All plans

Two modes, and you're the one who picks. In My studio → Invoicing, the first question decides everything else:

  • Financial tracking — Inkkore issues no invoice. Your payments received are still recorded, and your accounting export works exactly the same. Nothing to set up. It is the default mode of every account that has turned nothing on.
  • Accounting invoicing — Inkkore issues your numbered invoices, makes them unalterable once out, and prints the legal notices your country requires. It then asks for your country of taxation, your legal status and your tax number.

You can switch from one to the other whenever you want, and switch back: your setup is kept, there is nothing to type again. Moving to financial tracking erases no invoice already issued — an accounting document is never withdrawn from a set of books — and takes not one cent off your revenue.

What you declare to the tax authorities, and in what form, stays between your accountant and you.

Your invoices, in detail All plans

An issued invoice is not application data, it is an accounting document. So Inkkore holds three things for you: continuous numbering, with no gap and no duplicate; an invoice that cannot be altered once issued; and the legal notices required by your country and your status, printed automatically.

Before issuing, you confirm. The screen shows you live what will be printed on your invoices. Until you have confirmed, no invoice goes out: an accounting document without its legal notices would expose you.

You have nothing to click for the two invoices that matter. They go out at the two moments when money moves:

  • The deposit received — as soon as you tick "received" (or as soon as the payment is confirmed), the deposit invoice goes out, already marked as settled. A payment confirmed twice does not produce two invoices.
  • The session completed — when you click "Finish", the balance invoice goes out: the total for the work, minus the deposit already invoiced, with its reference. Your client does not pay their deposit twice, and your accountant sees the link between the two documents.

For a balance to go out, the session must carry its amount. If it is missing, nothing is issued — and the "Issue the balance" button is there to catch up afterwards. An invoicing error never blocks the work itself: a deposit received stays received, a session completed stays completed, even if the document cannot go out.

Four kinds of document. The deposit invoice (prefix FA) when you take the booking payment. The balance invoice (prefix F) at the end, which deducts the deposit. The plain invoice (prefix F) for everything else, issued by hand. And the credit note (prefix A) if you got it wrong.

Correcting an invoice All plans

An invoice is never deleted. If the amount is wrong, you issue a credit note from the invoice list (the "−" icon): a document with negative amounts that explicitly cites the one it cancels. The original stays in your history, marked "cancelled". You can note a reason: it is kept in the audit trail, never printed on the credit note. That is what an accountant expects, and what the law requires in most countries.

Each series is independent. A credit note does not consume an invoice number: your invoices stay F-2026-001, 002, 003 even if a credit note comes in between.

If you charge a tax, it is computed on what is actually owed: the deposit carries its share, the balance carries its own. A deposit of €360 received by someone registered at 20% is invoiced as €300 excl. tax + €60 of tax, and the balance does not charge it again.

If your situation changes, come back and say so on the setup screen. Invoices already issued do not move — they keep the notices of the day they went out. The next ones will take the new ones.

Your invoices print. The "Save as PDF" button opens the sheet and starts your browser's print dialog: you get a real PDF, with selectable text, without a trace of the interface around it.

Inkkore prints the common legal notices of twelve countries, but you remain responsible for the compliance of your invoices. If you are unsure about your tax regime, your accountant will answer in two minutes; we cannot answer in your place. A free field lets you add your own notices — useful where the rule depends on your town or your state.

Portfolio & healing follow-up Solo, Studio

As soon as a session is confirmed, a follow-up file appears automatically with 3 scheduled reminders — day 3, day 14, day 30 — to check on healing with your client. Once healed, you choose whether to publish the piece in your public gallery (with a client review if you enable that option). Turn it off in Settings ("Public portfolio") if you don't want to use it — in that case, no file is created at all, it's not just hidden.

Waiver & consent All plans

Consent forms signed digitally before every tattoo: health status, age confirmation, GDPR authorisation, whatever you deem necessary. You write your own document in Documents — Inkkore gives you a starting template in five languages so you're not facing a blank page, never a ready-made legal text. As long as the template's warning line is still there, Inkkore refuses to put it into your clients' journey.

Not to be confused with the waiver. They are two different things, and the difference isn't cosmetic: the consent form gets signed, the waiver gets read. The consent form produces a timestamped, named, enforceable record; the waiver is an information document your client reads, without signing. Both are written in the same place, in Documents — what happens to them next is decided by their type, not by the screen you wrote them on. The Consent screen only does tracking: who signed, when, what's still pending. A consent form is not a signed waiver, and a waiver is not a lighter consent form.

The content and legal compliance of the document remain your responsibility. Inkkore is a management tool — drafting, sending, online signing, timestamped archiving — not legal advice. Have your document checked by a lawyer if in doubt, depending on your jurisdiction, minors, health matters.

Once sent (by email, with a signing link), the client signs online — no account needed on their side. Every signature is archived with a timestamp.

Your documents All plans

Three documents you write once, and that Inkkore then sends at the right moment, by itself, to each of your clients:

  • Preparation — what they read BEFORE. Goes out up to 3 days before the session, and comes attached to the day-before reminder for anyone who missed it.
  • Aftercare — what they read AFTER. Goes out the next day, when the healing questions actually arrive.
  • Waiver — an information document to read before the appointment. Distinct from the consent form, which gets signed. Absent by default: it's a US-market expectation a French artist will never use, and adding it automatically would add a step to every client's journey.
  • Waiver & consent — the only one that gets signed. Written here like the others, sent for signature when a session is confirmed, and tracked in the Waiver & consent.

One checkbox decides. A document stays invisible until you tick “Use in the client journey”. It's the same box for all four types: ticked, the document becomes a step your client sees above your conversation; unticked, it exists only for you. Nothing goes out from a draft, and a document used in the journey can't be empty.

Several documents per type. Nothing forces you to have just one: two waivers depending on the body area, a health questionnaire alongside the consent form. Your client gets them all, in the order you arranged them.

The templates. Nobody writes an aftercare text staring at a blank page. The "Start from a template" button drops one in, in the language of your choice (French, English, Spanish, Portuguese, German). They are starting points to review and adapt to your practice, not texts ready to publish — a generic template says "keep the dressing on for the time indicated" because the duration changes from one artist to the next.

Each template starts with a warning line, and while it's there, the document refuses to be published. It isn't a banner you can ignore: it's a guard, checked on the server too. It exists so a generic text never reaches a real client because someone clicked too fast.

The content of your documents and its compliance remain your responsibility. Inkkore helps you write them, sends them at the right moment and records whether they were read — never responsible for what they say. For the waiver in particular, a template has no legal value as it stands : have it reviewed by a lawyer in your jurisdiction.

The preview. The "Preview" button shows the sheet exactly as your client will receive it, and "Save as PDF" produces a real file — selectable text, not an image — if you want to print it or keep it.

The session reminder goes out the day before, with the date, the local time of the tattoo's location and the city ("Tokyo time"), and the link to your conversation. It depends on no document: it goes out even if you've written none.

Your client's journey All plans

After their first message, your client gets their own page. There they follow their request from start to session, without having to chase you for news — a progress bar, a list of steps that tick off as your conversation goes, and on the day, a ticket with the date in their own time.

The steps come from YOUR setup. Nothing is fixed: the list is built from what you've turned on, in this order.

  • Request — ticked on arrival. Always there.
  • Discussion — ticked as soon as either of you has written. Always there.
  • Time slots offered — ticked when your client picks a slot. Always there.
  • Deposit — only if your deposit rate is above 0%. Ticked when payment is confirmed.
  • Waiver & consent — only if you've ticked a consent document. Checked off on signature.
  • Waiver — only if you've ticked a waiver. Checked off when read.
  • Preparation — only if you've ticked a preparation document. Checked off when read.
  • The big day — the session. Always there.
  • Aftercare — only if you've published the document. Appears after the session.

So an artist with no deposit, no consent form and no documents shows a four-line journey; another shows nine. Both are complete — there's no missing step, just a different setup.

The whole list is visible from the first message, including the steps still to come. That's deliberate: a step appearing out of nowhere halfway through — "oh, you also need to sign this" — is exactly what unsettles a client. They see everything up front, and nothing surprises them.

Reads are tracked per conversation, not per client. The same client coming back for a second project will read their documents again in that new thread: each project has its own journey.

If you decline a request, the page switches to a neutral state — never red, never a failure. Your client did nothing wrong, and the colour shouldn't suggest otherwise. They keep the option of writing to you.

Studio Studio

Team management is grouped into 5 pages:

  • Studio · Settings — seat billing, billing-only mode (you keep full visibility without handling requests day to day), the studio's public page (a single link gathering flashes and the whole team's presentation).
  • Studio · Team — invite an artist or manager (by email, 14 days to accept), manage roles, revenue split, activity log of every delegation.
  • Studio · Stations — who works at which physical station, on which day, at what time.
  • Studio · Live — real-time view of who's tattooing now, station occupancy.
  • Studio · Finance — aggregated revenue for the whole team, trend, the studio's share.

Starting a studio

In the menu, “Studio management” opens “Studio setup”: name your studio, invite your team, place your stations, open the studio page. Each step ticks itself off as soon as it's done, and you can come back to it whenever you like.

Joining a studio

When a studio invites you, you get an email and have 14 days to accept. Once you're in, your calendar, your requests, your clients and your link stay yours. The studio sees station occupancy and, in Studio · Finance, revenue and each person's share.

Access delegation between artists

A manager can request access to an artist's account (or the reverse) to act on their behalf — replying to their messages, managing their calendar — only after explicit acceptance from both sides, never automatic. Every action taken by delegation is logged: who acted, on whose behalf, when. Access can be revoked at any time by either party.

Appearance All plans

Two independent themes: your public page's (what your clients see) and your workspace's (visible only to you). Background, font, ink colour, shape rounding — a live preview updates as you adjust.

Messages All plans

One private thread per client, opened as soon as a request comes in from your link. Everything stays in one place: their request, their reference photos, your quote, the slots you offer. Your client gets an email with the link to their conversation — nothing to install, no account to create. No more digging through your DMs to work out who said what.

Search All plans

A global search (keyboard shortcut, at the top of the dashboard) covering your clients, requests, appointments, and payment references all at once — by name, email, phone, Instagram handle, or deposit number. On a Studio account, a manager or owner sees results from the whole team, labelled by artist.

Settings All plans

Toggles to turn entire features of your account on or off (automatic waitlist, healing follow-up, client segments), your working hours and days off, your subscription billing, your interface language, your account security (password, two-factor authentication), and whether you want Inkkore's emails or not (reminders, news — never your client emails, those always go out).

Every toggle you turn off really cuts the feature in the app for your account, not just in the interface — never for other accounts.

TrustData & privacy

What Inkkore keeps, why, and for how long.

What's kept

  • Your account : name, email, preferences, language.
  • Your clients : what they enter through your link or what you add yourself — contact details, project description, references, session history.
  • Messaging : the messages exchanged with your clients in their Inkkore thread, and the photos they attach there.
  • Deposits : payment amount and status — never any banking details, the money doesn't pass through Inkkore.

How long

As long as your account is active. Signed consents are archived for about 5 years (traceability of the service provided). You can delete everything when you close your account, or export your client file at any time.

TrustGDPR — your rights

How to exercise your rights straight from the app. For the full privacy policy (data controller, processors, transfers), see Privacy in the legal notices.

Export your data

Your client file is exported from the Clients page. It belongs to you — you can request a full copy at any time.

Delete your account

From Settings, with password confirmation (to prevent accidental deletion). Deletion permanently erases your account and all data specific to it — requests, clients, sessions, invoices, access keys. If you're a member (not the owner) of a studio shared with other artists, your row in that studio is cleaned up at the same time, rather than leaving your name and details visible to the studio owner.

Rights of access, rectification, objection

For anything not directly available in the app, write to [email protected] — answered within a month, as the regulation requires.

TrustSecurity

A deliberately simple summary — the full technical detail is available on request.

  • Encrypted connection (HTTPS) across the whole application, passwords never stored in plain text.
  • Two-factor authentication (2FA) available and enabled with one click from Settings → Security.
  • Every account is partitioned: one studio's data is never visible to another, including within a single shared studio, unless a delegation is explicitly accepted by both parties (see Studio).
  • The application and database are hosted in the European Union.

To report a vulnerability or a security concern: [email protected].

TrustAccessibility

An honest account of what's true today — Inkkore hasn't yet undergone a formal accessibility audit, so no claim of compliance with a specific level (like WCAG) until that's verified.

  • The application is fully responsive — usable on phone, tablet, and computer, with nothing to install.
  • The interface and the public booking page are available in 11 languages, detected automatically from the visitor's browser.
  • Keyboard navigation works on the main forms and menus.

If a specific accessibility issue blocks you, tell us at [email protected] — that kind of concrete feedback is what moves a real audit forward.

HelpFAQ

Does Inkkore take a commission?

Never. 0% on your tattoos, on every plan. You pay a subscription, full stop. The deposit and the balance go straight to your account.

Do my clients stay mine?

Yes. Your client file, your history, your conversations — it's all yours, exportable any time.

What happens after the 14-day trial?

Automatic switch to the Free plan: your link stays online, your data stays yours, 10 requests a month. Flash designs, healing follow-up, preparation and aftercare documents, the waitlist, invoicing and guest spots go on pause — nothing is deleted, and they come back exactly as they were if you move to Solo. Electronic consent and the waiver stay.

Do my clients need to create an account?

Never. They open your link, describe their project, that's it — in their language.

Who writes the consent document?

You. Inkkore provides the tool (drafting, sending, signing, archiving) and a guided structure, never a ready-made legal text — see Waiver & consent.
